Terms and Conditions

Last updated November 2nd, 2026.

SECTION 1

About these Terms

1.1 These Terms and Conditions (“the Terms”) are issued by Bucharest Cram School S.R.L., a company registered in Romania under fiscal code (CUI) 46612237, with its registered office at Strada Sfânta Vineri 25, Sector 3, Bucharest, Romania (“the Organiser”), which organises and owns the International Artificial Intelligence Team Contest (“IAITC” or “the Contest”).

1.2 The Terms apply to the use of this website and to taking part, in any role, in the Contest and in IAITC Open.

1.3 The rules of the competition are set out in the International Final Regulations, the IAITC Open Regulations and the Contest Center Guidelines (together, “the Regulations”). Together with these Terms, they form the agreement between the Organiser and each participant. If these Terms and the Regulations conflict on a matter of competition rules, the Regulations prevail.

SECTION 2

Definitions

2.1 “Season” means one edition of the Contest: the International Final, and the rounds of IAITC Open before it.

2.2 “National representative” means the organisation accredited by the Organiser to represent a member territory. The website calls a member territory a “country”.

2.3 “Contest Center” means the room, on the premises of an organisation, where a team competes in a round, organised by the team as set out in Art. 3 of the IAITC Open Regulations.

2.4 “Contestant” means a secondary school student registered as a member of a team. “Team” means three contestants registered together. A “territory team” is chosen by a national representative. An “open team” qualifies through IAITC Open.

2.5 “Delegation” means the teams, coaches and other accompanying persons registered for the International Final by a national representative, or by an open team for itself.

2.6 “Participant” means any person or organisation that takes part in the Contest, including contestants, coaches, accompanying persons and national representatives.

SECTION 3

Acceptance

3.1 By registering for the Contest or taking part in it, a participant accepts these Terms. By using this website, a visitor accepts the Terms that apply to the website.

3.2 For a contestant under 18, a parent or legal guardian accepts these Terms and gives the consent that Art. 11.1 of the International Final Regulations requires. The contestant takes part only after that consent is given.

3.3 A person who registers teams or a delegation on behalf of an organisation confirms that they are authorised to act for that organisation.

SECTION 4

Eligibility and registration

4.1 Contestants must meet the eligibility rules in Art. 3 of the International Final Regulations. Teams register for IAITC Open with the registration form on this website, and then on the judging platform. For the International Final, a national representative registers its territory teams, and an open team registers directly with the Organiser.

4.2 Participants must give accurate and complete information and must inform whoever registered them, the Organiser or their national representative, of any change.

4.3 The Organiser may check eligibility at any time. It may refuse or cancel a registration, or annul results, if a participant does not meet the Regulations or gave false information.

SECTION 5

National representatives and Contest Centers

5.1 National representatives are independent organisations. They are not agents of the Organiser and cannot make commitments on its behalf.

5.2 They carry out the duties set out in the International Final Regulations. They are responsible for the venues they provide, for the safety of participants at those venues and for their own staff.

5.3 How a national representative chooses its territory teams, and any fee, contest or service it offers, are governed by its own rules and terms, not by these Terms.

5.4 Teams organise their own Contest Centers under Art. 3 of the IAITC Open Regulations and the Contest Center Guidelines. The Organiser does not provide, inspect or supervise a Contest Center. The team, and for contestants under 18 their parents or legal guardians, are responsible for the room, the equipment and the safety of the contestants there.

SECTION 6

International Final registration and fees

6.1 A national representative registers its territory teams, and an open team registers itself, for the International Final before the deadline published on this website.

6.2 The fee per team, which includes one coach, the fee per additional member of the delegation and the fee per team that competes remotely, and what they cover, are published on this website before registration opens. An open team pays no fee per team, as Art. 5.5 of the International Final Regulations sets out.

6.3 For a territory team, the Organiser issues the invoice to its national representative. For an open team, it issues the invoice to the organisation or the adult that the team names. Payment is made by bank transfer. A registration is confirmed only when the Organiser receives the full payment. Bank charges are paid by whoever receives the invoice.

6.4 Fees are not refundable once paid, including when a delegation withdraws or a participant does not attend, except as set out in section 11. The International Final takes place on fixed dates, so a person who pays as a consumer has no right of withdrawal.

6.5 A registered accompanying person may be replaced before the International Final. The team itself must stay the same, as Art. 3.5 of the International Final Regulations requires.

SECTION 7

Travel, visas and insurance

7.1 Each delegation arranges and pays for its own travel to and from the International Final, unless the published fees state otherwise.

7.2 Each participant is responsible for valid travel documents, any visa, and appropriate travel and medical insurance. On request, the Organiser can issue a letter that confirms the registration of a delegation.

7.3 Contestants under 18 travel under the supervision of the adults in their delegation and under the authorisation of their parents or legal guardians, as the law of their territory and Romanian law require.

SECTION 8

Conduct and fair play

8.1 Participants must follow Art. 8 of the International Final Regulations, the Contest Center Guidelines and the instructions of the Organiser during the rounds.

8.2 Participants must behave respectfully towards other participants, staff and venues. They are responsible for damage they cause to venues or equipment.

8.3 Breaches are sanctioned under the Regulations, up to disqualification for the season. At the International Final, the Organiser may also remove a person from the venue or from the programme for serious misconduct.

SECTION 9

Judging platform and software

9.1 All rounds are held on the judging platform judge.nitro-ai.org and use the Nitro Companion application and the nitro-connect browser extension. A third party operates them under its own terms, which contestants must accept to use them.

9.2 If a technical problem disrupts a round, the Organiser decides, under the Regulations, whether to extend, repeat or annul the round or part of it.

SECTION 10

Intellectual property

10.1 The IAITC name and logo, the content of this website, and the tasks, datasets, statements and reference solutions of the Contest belong to the Organiser or to its licensors.

10.2 After each round, the Organiser may publish its tasks, datasets and reference solutions. Anyone may use them free of charge for non-commercial teaching and training, with a reference to IAITC. Any other use needs the written permission of the Organiser.

10.3 Contestants keep the rights to the code and models they submit. They grant the Organiser a free, non-exclusive, worldwide licence to store, run, evaluate and archive their submissions, to check results, handle appeals and detect plagiarism. The Organiser does not publish a submission in a way that identifies its team without the team’s consent.

10.4 National representatives may use the IAITC name and logo only to refer to their participation in the Contest, and must follow the instructions of the Organiser. Awards for results in IAITC Open must follow Art. 8 of the IAITC Open Regulations.

SECTION 11

Changes, postponement and cancellation

11.1 The Organiser may change the dates, format or venue of a round when this is necessary for the Contest to take place. It publishes changes on this website and informs the national representatives.

11.2 The Organiser is not responsible for failing to perform its obligations because of events outside its reasonable control, such as natural disasters, epidemics, war, government measures or the failure of essential third-party services. In such a case, it may postpone or cancel a round.

11.3 If the Organiser cancels the International Final and does not hold it at a later date, it refunds the fees paid for it, minus the costs it has already incurred and cannot recover. If it postpones the International Final, a registered delegation may choose to keep its registration for the new date or to receive this refund.

SECTION 12

Liability

12.1 The Organiser is liable under Romanian law. Nothing in these Terms limits its liability for damage caused intentionally or through gross negligence, for death or personal injury caused by its fault, or for any other liability that the law does not allow to be limited.

12.2 Within those limits, the Organiser is not liable for indirect loss or lost opportunities, for the acts of national representatives or other independent organisations, for venues and Contest Centers it does not operate, or for the availability of third-party services.

12.3 Within the same limits, the total liability of the Organiser towards an organisation or a person that paid fees is limited to the fees it paid for the season.

SECTION 13

Use of this website

13.1 The information on this website is provided for the Contest and may change. The Regulations and official announcements prevail over any summary on other pages.

13.2 Visitors must not use the website unlawfully or in a way that harms it or other users.

13.3 The website links to third-party websites. The Organiser is not responsible for their content.

13.4 The Organiser does not guarantee that the website is always available or free of errors.

SECTION 14

Personal data

14.1 The Organiser processes personal data as described in the Privacy Policy.

SECTION 15

Governing law and disputes

15.1 These Terms are governed by Romanian law.

15.2 Appeals on scoring follow Art. 10 of the International Final Regulations. For any other dispute, the parties first try to reach an amicable solution by writing to each other.

15.3 If no amicable solution is reached, the dispute goes to the competent courts of Romania. A participant who is a consumer keeps the protection of the mandatory law of the country where they live.

SECTION 16

Language and changes to these Terms

16.1 These Terms are written in English, the language of the Contest. If a translation differs, the English version prevails.

16.2 The Organiser may update these Terms. It publishes each new version on this page with its date. A new version applies to registrations made after its publication. If a change significantly affects registered participants, the Organiser informs the national representatives.

SECTION 17

Contact

17.1 For any question about these Terms, write to [email protected].
